JOB SUMMARY:

The individual holding the Consumer Accounts position ensures accurate accounting records for receipts and/or disbursements within the county. This is a responsible non-supervisory position. Duties include performing a variety of complex clerical and entry-level bookkeeping and accounting tasks, applying accepted procedures to the preparation and maintenance of accounting and other records, and preparing financial, statistical, and/or technical reports. The Consumer Accounts position also acts as back-up for the Case Management Administrative Coordinator.

Prepares, posts, and distributes checks for client expenses.

Prepares, posts, and makes deposits of client income.

3.

Prepares monthly budgets for clients.

4.

Reconciles bank accounts monthly.

5.

Prepares and distributes monthly client financial transaction reports.

6.

Prepares Representative Payee forms and Disability Update forms for Social Security Administration.

7.

Schedules, prepares for, and attends appointments at Social Security Administration to become payee for consumers.

8.

Prepares for and attends regularly scheduled reviews at Social Security Administration.

9.

Prepares yearly accountings to the Court for guardians.

10.

Regularly reports changes and updates to Social Security.

11.

Assists clients daily with financial needs via the telephone or face-to-face contact.

12.

Maintains files of deposits, paid-out invoices, and client's personal financial records.

13.

Maintains Payee waiting list.

14.

Assists individuals in accessing application for waiver services through the MWMA (Medicaid Waiver Management Application), which includes assisting the individual or family in knowing what information is needed to complete and help to navigate the MWMA portal.

15.

Fosters collaborative working relationships among members of the leadership and management teams and programs.

16.

Other duties as assigned.

Standards for back-up Case Management Administrative Coordinator below-

1.

Responsible for the day-to-day oversight of the area office including directing clients, answering phones, taking messages, typing, copy, filing, mail distribution, faxing, distribution of WSH discharge information, and provides administrative support to Senior Director and Vice President.

2.

Responsible for all billing for Case Management, Therapeutic Child Support, Intensive In-Home Services Peer Supports. Verifies TCS and Intensive In-Home notes. Bills MPW-CDO as needed. Bills SCL/MPW assessments and re-assessments. Bills PASSR evaluations and correspondence.

3.

Processes incident reports and maintains files to include filing, entering data if needed, and routing of incident reports.

4.

Maintains wrap around spreadsheet.

5.

Reviews and corrects monthly reports distributed by IT.

Minimum Qualifications:

  • High School diploma or GED and two (2) years' experience in bookkeeping, accounting, or secretarial assignments involving advanced record keeping (directly related business school or college courses may be substituted equally for up to six (6) months' experience).

Or

  • Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
  • Must be bondable.
